LoadLatch Privacy Policy

LoadLatch is operated by Load Latch LLC, an Arizona limited liability company ("Load Latch LLC," "we," "us," or "our"). We provide a mobile application that lets truck drivers scan bills of lading (BOLs), and a web application where their company reviews the captured documents and extracted fields. This Privacy Policy explains what information the LoadLatch apps collect, how we use and share it, and the choices you have.
LoadLatch is a business tool provided to drivers by their employer or carrier. The documents you scan and the data extracted from them are business records that belong to that company.
1. Information we collect
Account information. Your LoadLatch account is created for you by your carrier or employer, who supplies your name and email address when they invite you. We process both: your email address identifies your account at sign-in, and your name is shown alongside the loads you scan so your office knows who captured each one. You also choose a password. Passwords are handled by our authentication provider and stored only in hashed form — we never see or store your password in plain text. We also process the session tokens needed to keep you signed in.
Documents you scan. When you capture a bill of lading, we collect:
- the image of the document you scan, and
- the fields extracted from that image (for example: BOL number, carrier, shipper/consignee, purchase-order number, delivery number, ship and delivery dates, package count, weights, and whether a signature is present).
Camera access. The app uses your device's camera only to let you scan a bill of lading, and only at the moment you take a scan. We do not access your photo library, and we do not record video or audio.
Technical information. We process basic operational data such as timestamps and error logs needed to run, secure, and troubleshoot the service.
What we do NOT collect. We do not collect your precise location or GPS data, your contacts, biometric data, browsing history, or advertising identifiers. LoadLatch contains no third-party advertising and does not track you across other apps or websites.
2. How we use your information
We use the information above to:
- provide the core service — capturing your scans and extracting their fields;
- associate each scan with your company so authorized staff can review, verify, correct, and export the data in a back office;
- authenticate you and keep your account secure;
- operate, maintain, debug, and improve the service; and
- comply with applicable law.
3. How we share your information
We share information only as needed to run the service:
- Your company.Because the scans are your employer's or carrier's business records, the data you capture is available to authorized personnel at your company through their LoadLatch account.
- Service providers (sub-processors). We use trusted providers to operate the app: Supabase, Inc. — hosts authentication, the database, and secure file storage; Amazon Web Services (Amazon Textract) — processes a scanned image to extract its text and fields; Vercel Inc. — hosts the office web application; Resend — delivers service emails, such as notifying your office that an account was deleted. Each processes data only on our instructions, for the purposes above.
- Legal and safety. We may disclose information if required by law, regulation, legal process, or to protect the rights, property, or safety of LoadLatch, our users, or others.
- Business transfers. If LoadLatch is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
We do not sell your personal information, and we do not share it for advertising or cross-context behavioral advertising.
4. Data storage, location, and security
Your data is stored on infrastructure located in the United States. Data is encrypted in transit using industry-standard TLS and encrypted at rest. Access is restricted by row-level security so that each company can access only its own data. Despite these safeguards, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
5. Data retention
We retain your account information and scanned documents for as long as your account is active and as needed to provide the service, and thereafter as required to meet legal, recordkeeping, or dispute-resolution obligations. You or your company administrator may request deletion of your data as described below.
6. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete, or restrict the processing of your personal information, or to receive a copy of it. Because your scans are your company's business records, some requests may be directed to or coordinated with your employer or carrier. To make a request, contact us at the address below and we will respond as required by applicable law. You may also revoke camera permission at any time in your device settings, though the app cannot scan without it.
Deleting your account. You can delete your LoadLatch account from inside the driver app: open the home screen and tap Delete my accountat the bottom. This removes your name, your email address, your ability to sign in, and any notifications to your device. The bills of lading you already scanned are your company's shipping and invoicing records, so they remain with that company and are listed as "Deleted user" rather than under your name. Deletion takes effect immediately and cannot be undone from the app.
7. Children's privacy
LoadLatch is a workplace tool intended for use by adults and is not directed to children. We do not knowingly collect personal information from children.
8. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be communicated through the app or by other appropriate means.
